JOBSUMMARY
Actingas the first line of contact for the Headmaster, his diary management, themaintenance of administrative filing. General secretarial and administrativework. In contact with a wide range of adults and pupils and provides a warmwelcome to visitors and other contacts whilst operating at the highestprofessional standard in support of the headmaster.
RESPONSIBILITIES
· To act as first line contact for the Head Master, using discretionand tact to ensure telephone callers and visitors receive a professionalresponse, and are dealt with by the appropriateperson.
· To generate an environment of efficiency and provide a warmwelcome at all times.
· To liaise with members of the academic and support staff asappropriate.
· To organise the day to day time management of the Head Master.
· To oversee the Head Master's travel arrangements trains flightstaxis dates etc for UK and overseas trips.
· To show absolute confidentiality and discretion at all times.
· To cover routine events or emergencies with equilibrium,confidence and style .
· To assist the Headmaster in maintaining a smooth running andefficient Head Master's office by dealing with all administrative functions andanticipating and scheduling regular events and meetings.
· Other tasks assigned by the headmaster.
QUALIFICATION&SKILLS
· Proven track record of successful support to a senior manager.
· Good organisational skills with strong attention to detail andaccuracy.
· Ability to manage multiple tasks and deadlines.
· Discretion, tact and confidentiality.
· Good literacy skills to prepare correspondence and reports andmaintain records to a high standard.
· Confident interaction with colleagues, members of partners,parents, pupils and visitors.
· Good telephone manner in dealing with a range of callers.
· Flexibility to work occasionally early or late and at weekends asnecessary.
· Excellent MS Outlook, Word and Excel skills.
· Shorthand would be desirable.
REQUIREMENTS
· Bachelor's degree or above.
· Has the right combination of communication and interpersonalskills necessary for working effectively with parents, students,administrators, staff, and management.
· Has a strong track record of interacting positively withcolleagues, even under pressure.
· Has the ability to analyse situations, reach sound conclusions andresolve issues effectively.
· Has strong writing and presentation skills.
· Fluent in English and Chinese.
· Relates with genuine interest to children and adults.
· Conveys a sense of enthusiasm for the school and internationaleducation.
· Is optimistic, resilient, and has a well-developed sense ofproportion and humour.
· Is smart and professional in dress and appearance.
